Kamz Cloud — Privacy Policy

Kamz Cloud (“Kamz.cloud”, “we”, “us”, or “our”) provides automation and software services, including WhatsApp automation, web integrations, and payment workflows for businesses in Uganda and beyond (the “Services”). We are committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have.

Important laws: We process personal data in line with the Uganda Data Protection and Privacy Act, 2019 (UDPPA) and, where applicable, the EU/UK GDPR for individuals in the EEA/UK who interact with our Services on behalf of our customers.

2) What this policy covers

  • Our websites and landing pages (e.g., kamz.cloud and subdomains)

  • Customer dashboards, APIs, and automation flows we host

  • Communications via WhatsApp, SMS, email, web chat, or phone handled by our platform

  • Support, demos, billing, and account management

Note on customer (“Controller”) content: Many Kamz Cloud features process data on behalf of our business customers (e.g., fee reminders to parents, appointment notifications to patients). In those cases, the customer is the data controller and Kamz Cloud is the data processor. We process such data strictly under our customer contracts and their instructions.

3) Personal data we collect

A. You visit our sites or contact us

  • Identifiers: name, email, phone, organisation, role

  • Technical data: IP address, device/browser info, cookies, pages viewed, referral source

  • Comms data: messages you send us (email, WhatsApp, chat), call notes

  • Marketing preferences: opt-ins/opt-outs

B. You create an account / become a customer

  • Account data: name, business name, email, phone, login credentials (hashed)

  • Billing data: billing contact details, transaction references from payment providers (we do not store full card/MoMo numbers)

  • Usage data: actions in the dashboard, audit logs, API keys usage, error reports

C. Data we process on behalf of customers (processor role)

  • End-user contact data: names, phone numbers (WhatsApp/SMS), emails

  • Operational data: balances/fees due, appointment schedules, order numbers, ticket/issue IDs

  • Message content: template variables (e.g., amount due, appointment time), conversation logs with timestamps

  • Attachments: receipts, statements, PDFs generated by the flow.

Sensitive data: We instruct customers not to send special categories (e.g., detailed health info) through the bot unless consent and legal basis are established and minimisation rules are followed. For clinics, we recommend sending non-sensitive prompts (e.g., “results ready”) and handing off to a human for details.

4) Sources of data

  • Directly from you (forms, emails, WhatsApp, calls)

  • Your employer/organisation (when they create a user account for you)

  • Third-party providers we integrate with (e.g., Flutterwave, Pesapal, MTN/Airtel Mobile Money BSPs, WhatsApp Cloud API/BSPs, email/SMS gateways, CRMs/ERPs)

  • Public sources (company registries, public websites) for verification or lead generation

When we act as a processor, the customer’s chosen legal basis applies; we follow their instructions and data retention rules.

6) Cookies & similar technologies

We use cookies and similar tools to:

  • keep you signed in,

  • remember preferences,

  • understand site usage for improvement.

You can control cookies in your browser. Where required by law, we will request consent for non-essential cookies.

7) Sharing your data (disclosures)

We share data only as needed to run the Services or as required by law:

  • Infrastructure & hosting: reputable cloud providers (e.g., AWS/GCP/Azure)

  • Messaging channels: WhatsApp Cloud API / approved BSPs, SMS/email gateways

  • Payments: Flutterwave, Pesapal, Mobile Money providers (via payment partners)

  • Analytics/Monitoring: product analytics (privacy-focused), logs, error tracking

  • Professional services: auditors, legal counsel, accountants (under NDA)

  • Compliance: regulators or law enforcement where legally required

We sign Data Processing Agreements with sub-processors and conduct diligence on their security practices.

8) International transfers

Our infrastructure or sub-processors may be located outside Uganda. When data is transferred internationally:

  • we use providers with strong security certifications, and

  • apply appropriate safeguards (e.g., Standard Contractual Clauses) where required.

9) Data security

We implement administrative, technical, and physical controls, including:

  • encryption in transit (TLS) and at rest (where applicable),

  • role-based access control and least-privilege policies,

  • secrets management and key rotation,

  • audit logging and anomaly detection,

  • secure software development lifecycle (code reviews, dependency scanning),

  • regular backups and tested recovery procedures.

No system is 100% secure; we work continuously to improve. If we discover a breach likely to affect you, we will notify you and relevant authorities in line with applicable laws.

10) Data retention

  • Customer (controller) data we process on their behalf: retained per the customer’s instructions and contract, then securely deleted or returned at contract end.

  • Account/billing/support records: retained as long as you have an account and as needed for legal/financial obligations.

  • Site analytics & logs: kept for a limited period necessary for security and performance, then aggregated or deleted.

11) Your rights

Depending on your location and applicable law (UDPPA, GDPR, etc.), you may have rights to:

  • access, correct, or delete your personal data,

  • object to or restrict certain processing,

  • data portability,

  • withdraw consent (where consent is the basis),

  • lodge a complaint with a supervisory authority.

How to exercise: email business@kamz.cloud, If we process your data on behalf of a Kamz Cloud customer, please contact that organisation first; we will assist them with your request.

12) Children’s data

Our Services are business-focused and not directed to children. We do not knowingly collect personal data from children. If you believe a child has provided us data, contact business@kamz.cloud so we can address it promptly.

13) Marketing communications

We may send B2B updates about features or events. You can unsubscribe at any time using the link in the email or by contacting us. For WhatsApp/SMS, we honour opt-out keywords (e.g., STOP).

14) Payments & financial data

Payments are processed by trusted providers (e.g., Flutterwave, Pesapal) and/or Mobile Money through their gateways. We receive transaction references and status but do not store full card or MoMo details on Kamz Cloud systems.

15) Customer responsibilities (when you use our platform)

If you are a Kamz Cloud customer (controller), you agree to:

  • obtain valid opt-in/consent where required (e.g., WhatsApp outreach),

  • provide accurate message content and lawful purposes,

  • avoid sending special-category or sensitive data unless lawful and minimised,

  • comply with sector-specific rules (e.g., health, finance, education),

  • configure retention and deletion for your data in line with your policies.

We provide tools and guidance, but you are responsible for your compliance when you decide what to send and to whom.

16) Third-party links

Our sites or messages may contain links to third-party sites. Their privacy practices are governed by their own policies; please review them.

17) Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated via our website or email. The “Last updated” date at the top reflects the latest version.
